This notice explains what Doxa collects when you visit this site and join the waitlist, why we collect it, who we share it with and what you can ask us to do with it. We follow the Nigeria Data Protection Act 2023.
The short version
- We collect what we need to contact you and set up your pharmacy, and nothing for advertising.
- We never sell your details or share them with other pharmacies, suppliers or marketers.
- We don't store your IP address, and we don't use advertising or tracking cookies.
- You can see, correct or delete your details at any time.
Who we are
Doxa makes pharmacy management software for pharmacies in Nigeria: point of sale, stock, batch expiry tracking, purchasing and reports. For the waitlist, Doxa decides what is collected and why, so we are the data controller. You can reach us on WhatsApp.
What we collect
When you join the waitlist:
- Your email address and WhatsApp number.
- Your name, your role, your pharmacy's name, its state and city, how many branches it has and what system you use today, plus anything you write in the optional note.
- Whether you'd like product updates, and the exact consent wording you agreed to, with the date.
Automatically, when you sign up:
- Where you came from, such as a WhatsApp group, a flyer or a link with campaign tags, so we know which channels reach pharmacists.
- A scrambled version of your IP address and your browser type, so we can stop spam and repeated sign-ups. It can't be turned back into your IP address, and we never store the address itself.
If you type your pharmacy's name into the samples on the home page, it stays in your browser and is never sent to us.
Why we use it, and our legal basis
- To contact you and set up your pharmacy. We call or message you on WhatsApp, prepare your onboarding and send your login. Basis: your consent, given when you join.
- To decide who we set up next. We group pharmacies by location and size. Basis: your consent.
- To keep the waitlist honest. We check for spam, bots and fake sign-ups. Basis: our legitimate interest in a waitlist that works.
- Product updates. Only if you ticked the box. You can stop them at any time, separately from the waitlist.
Cookies
We use two small cookies. Neither is used for advertising.
- doxa_wl connects the two steps of the sign-up form, so your pharmacy's details are saved to the right place. It lasts 30 days.
- doxa_utm remembers which link or campaign brought you here, if any, so we know which channels reach pharmacists. It lasts 30 days.
Who processes your data for us
We use a small number of trusted service providers to host this site, store the waitlist, send emails and keep out spam. Each one only gets what it needs to do that job, and is bound by contract to protect it. We can tell you who they are if you ask.
Some of these providers store data outside Nigeria, including in the European Union and the United States. When they do, we rely on the safeguards the Act requires for transfers abroad.
When you become a Doxa customer
Once your pharmacy is set up, Doxa will hold your pharmacy's records: sales, stock, batches, suppliers and staff accounts, and any customer details you choose to record at the counter. Those records belong to your pharmacy. Each pharmacy's records are kept separate, and only the people you add can sign in. We'll give you our customer terms, which cover how we handle that data, before you start using Doxa.
How long we keep it
- If you're never onboarded, we delete your waitlist details 12 months after you sign up.
- If you remove yourself, we delete your details straight away.
- If you become a customer, your waitlist details move into your Doxa account.
How we protect it
Your details travel over encrypted connections and are stored with access limited to the Doxa team members who onboard pharmacies. No one outside Doxa and the providers above can see them.
Your rights
Under the Nigeria Data Protection Act, you can:
- See the data we hold about you, and get a copy.
- Correct anything that's wrong.
- Have it deleted.
- Withdraw your consent, or object to how we use your data, at any time.
- Complain to the Nigeria Data Protection Commission (NDPC) if you think we've got something wrong.
To use any of these rights, message us on WhatsApp from the number you gave us. We'll confirm it's you before we change or send anything.
Children
Doxa is for pharmacy owners and their teams. The waitlist isn't meant for anyone under 18.
Changes to this notice
If we change how we use your details, we'll update this page and its date. If the change matters to you, we'll tell you by email before it takes effect.
